Possess a Bachelor's degree or Diploma in a Business-related field.
Have a minimum of 2 years' experience in a similar role.
Hold a Certificate in IT and demonstrate a general understanding of IT systems, hardware, networking, software, and accessories.
Hands-on experience with CRM applications.
Have a strong grasp of the procurement laws in Kenya and familiarity with the Public Procurement Oversight Authority (PPOA) Act.
Experience with online tender platforms and online bidding processes.
Main Job Tasks and Responsibilities:
Bidding:
Source relevant tendering and pre-qualification (P/Q) opportunities.
Prepare P/Q, tender, and request for quotation/proposal documentation.
Lead the consultative selection of bids.
Ensure timely submission of bids and prequalifications.
Design and prepare bid documents.
Arrange bid securities as required.
Ensure internal stakeholders fully understand client tender requirements.
Attend bid/tender openings and accurately record proceedings and results.
Obtain feedback on bid results and communicate them to management.
Coordinate the bid process from inception to contract award.
Manage online prequalifications and tender platforms.
Expand the customer base by identifying new business opportunities for prequalifications and onboarding.
Facilitate a timely post-tender and post-qualification client feedback process.
Contract Management:
Follow up on contract award notifications and prepare the Performance Bond if necessary.
Expedite order fulfillment and ensure compliance with delivery periods and terms.
Obtain delivery certificates and expedite payments.
Develop plans for tender process activities to achieve targets.
Communication and Reporting:
Continuously improve the tender process, demonstrating a thorough understanding of tender regulations.
Organize tender strategy and update meetings, as well as tender debriefing meetings to share lessons learned.
Obtain relevant approvals in the tendering cycle according to organizational policy and delegation rules.
Maintain ongoing relationships with buyers, keeping them informed of their orders and responding to their needs by developing solutions.
Ensure effective planning and management of tender process activities to meet established targets.
Support all departments with tender-related issues.
