Our client is an international organization that aims to solve global development challenges by supporting private sector growth and innovation. They are seeking an Executive Assistant who has relevant experience supporting directors and the ability to provide high-quality support services while managing a professional office. The successful candidate will be responsible for managing the Director's diary, coordinating travel arrangements, processing expense claims, and ensuring that the internal database is up-to-date.
Additionally, the Executive Assistant will work closely with other PAs and the broader business support team to ensure that all administrative tasks are completed efficiently. This includes booking lunches, setting up meeting rooms, obtaining and renewing local licenses and permits, managing inventory and office set-up processes, and ensuring that meeting rooms are stocked with stationery. The Executive Assistant will also provide support for team events, dinners, and meetings, as well as organize and coordinate large events.
Qualifications for this role include a bachelor's degree in Administration or a relevant field, a minimum of 5 years of experience, and experience in flight bookings and visa processing for multiple geographies. The ideal candidate should have excellent spoken and written English, strong communication and team skills, and the ability to learn new processes and implement new policies.
The Executive Assistant should have strong diary management experience, exceptional attention to detail, be confident, proactive, cheerful, and a resourceful team player. The ideal candidate should have flexibility, prioritization skills, and the ability to work under pressure, as well as excellent organizational skills, absolute integrity, discretion, and a sense of responsibility. Proficient computer skills in Windows, Word, Excel, and PowerPoint, as well as experience in Office 365 and intranet, are required.
The monthly gross salary for this role ranges from KES 180,000 – KES 197,000, and it is a mid-level position.
