Job Title: Human Resource Coordinator Organization: Rafiki wa Maendeleo Trust (RWMT) Location: Rarieda sub-County, Siaya County, Kenya
Purpose of the Position: The Human Resource Coordinator is responsible for fostering a values-driven and strength-based culture within RWMT. They oversee the human resource function, ensuring compliance with government requirements, labor laws, organizational policies, and industry best practices. The coordinator plays a vital role in employee recruitment, onboarding, engagement, performance management, development, and departure.
Duties and Responsibilities:
Human Resource Functions:
Coordinate recruitment processes, including vacancy announcements, shortlisting, interviews, and orientation.
Manage staff probations, appointments, confirmations, promotions, transfers, terminations, and job descriptions.
Coordinate the Performance Appraisal System (PAS) according to the agreed schedule.
Ensure a smooth and professional process for staff exits.
Manage all staff leaves in line with organizational policies and procedures. Skills Development & Performance:
Identify and match staff strengths with responsibilities in collaboration with managers and departmental coordinators.
Assess technical and soft skill requirements for different levels within the organization.
Develop and implement coaching and training programs to build capacity and reduce knowledge gaps.
Participate in redesigning and implementing a performance management system. Culture & Employee Wellbeing:
Coordinate staff wellness programs to promote safety, health, fitness, and psychosocial wellbeing.
Create opportunities to raise awareness and foster alignment with the organization's values.
Encourage the application of Clifton Strengths to improve collaboration and understanding.
Facilitate staff meetings, trainings, development events, and special organization-wide events. Administration:
Ensure necessary contracts, agreements, and job descriptions are in place and updated as required.
Maintain up-to-date staff files, both in hard copy and soft copy, to ensure legal compliance.
Update the HR Report and Organogram on a monthly basis and submit for review. Payroll:
Prepare and submit relevant time sheets to the Finance department monthly.
Collaborate with Finance and Operations Managers to process wage sheets and pay advice.
Maintain accurate employee records in the payroll system, including statutory payment receipts. Policies & Procedures:
Assist in the review of RWMT policies and procedures in consultation with management.
Provide research on policies, training, and other HR-related issues.
Advise staff on procedural documents and Kenyan labor laws.
Manage employee relations and address grievances or concerns promptly and professionally.
Provide guidance to managers on employee-related matters.
Other Duties and Responsibilities:
Perform any other duties assigned by management that are related to RWMT's mission and vision. Requirements:
Education: At least a Degree in Human Resources or a related discipline.
Membership: Active membership of a HR professional body.
Other competencies:Professional coaching certification.
Intercultural orientation and strong public relations skills.
Excellent organization, communication, interpersonal, negotiation, time management, and administration skills.
Knowledge of Kenyan labor laws.
Ability to multitask.
Computer literacy, including proficiency in Excel, Word, PowerPoint, and Access.
Job experience: At least five (5) years' experience in a similar HR position.
