Our client is an event and entertainment company based in Nairobi. They are looking for a full-time Personal Assistant to provide administrative support to the CEO. As the Personal Assistant, you will be responsible for managing the CEO's schedule, coordinating communications, conducting research, and performing general administrative tasks. The ideal candidate should have strong communication skills, the ability to maintain confidentiality, and a proactive approach to problem-solving.
Your key responsibilities will include managing the CEO's schedule, including scheduling and coordinating meetings, appointments, and travel arrangements. You will also prioritize incoming communications, including phone calls, emails, and mail, and manage the CEO's personal and professional contacts, including maintaining an up-to-date address book and calendar. Additionally, you will conduct research and compile information for special projects and tasks, perform general administrative tasks, prepare meeting agendas and take meeting minutes, and anticipate and prepare presentations, reports, materials, and information needed for meetings and appointments.
Other responsibilities include managing the CEO's expenses, including preparing and reconciling expense reports, acting as a liaison between the CEO and other departments within the company, handling confidential and sensitive information with discretion and professionalism, and performing other administrative duties as assigned by the CEO.
The ideal candidate should have a higher diploma or equivalent, with a Bachelor's degree preferred. They should also have a minimum of 2 years of experience as a personal or executive assistant or in a related field, excellent organizational and time management skills, with the ability to prioritize and handle multiple tasks simultaneously, excellent communication skills, both oral and written, and strong computer skills, including proficiency in Microsoft Office and Google Suite. They should also be able to work independently, with a strong attention to detail and a high degree of accuracy, maintain confidentiality, and handle sensitive information with discretion, and work flexible hours, including evenings and weekends on short notice. Accounting knowledge will be an added advantage.
